FIELD TRIP: PRAGUE

Booking + Cancellation Terms

By registering for FIELD TRIP: Prague, April 21–27, 2027, you agree to the following booking and cancellation terms.

PAYMENT

You can choose to pay for FIELD TRIP in full or use our split-payment option of three monthly payments.

Payments can be made by credit card or, for eligible European customers, by IBAN/SEPA.

Your booking is confirmed once your first payment has been received. If you select a payment plan, you are committing to payment of the full retreat price according to the payment schedule provided at checkout.

CANCELLATION BY THE PARTICIPANT

You may cancel your participation in FIELD TRIP at any time before the retreat begins. Cancellation must be made in writing to hey@dfpcommunity.com

Because we make financial commitments based on confirmed bookings, the following cancellation fees apply.

FIELD TRIP + VILLA STAY

More than 120 days before FIELD TRIP: €400
120–61 days before FIELD TRIP: €800
60–31 days before FIELD TRIP: €1,200
30 days or less before FIELD TRIP: €1,600

FIELD TRIP + STAY ELSEWHERE

More than 120 days before FIELD TRIP: €300
120–61 days before FIELD TRIP: €600
60–31 days before FIELD TRIP: €900
30 days or less before FIELD TRIP: €1,200

The cancellation fee is calculated based on the date we receive your cancellation in writing.

If the amount you have already paid is greater than the applicable cancellation fee, we will refund the difference. If you have paid less than the applicable cancellation fee, the remaining amount will be due.

If your place is transferred to another participant or we are otherwise able to resell your place, this will be taken into account when calculating the cancellation fee.

You may also transfer your booking to another photographer rather than cancelling. You are responsible for finding the person who will take your place. Please contact us before arranging the transfer so that we can confirm the change.

Any reasonable additional costs actually incurred as a result of transferring the booking may be charged.

TRANSFERRING YOUR PLACE

If you can no longer attend, you may transfer your booking to another photographer, provided they meet the participation requirements for FIELD TRIP.

You are responsible for finding your replacement. DFP will not be responsible for finding someone to take your place.

Please notify us in writing at hey@dfpcommunity.com as soon as possible if you would like to transfer your booking. Any reasonable additional costs actually incurred as a result of the transfer may be charged.

CANCELLATION BY DFP

FIELD TRIP requires a minimum of 8 participants to take place.

If the minimum number of participants has not been reached, we reserve the right to cancel FIELD TRIP. You will be notified no later than 30 days before the retreat begins.

If DFP cancels FIELD TRIP, all payments you have made to us for the retreat will be refunded in full within 14 days.

Where possible, we may offer an alternative arrangement or revised price instead of cancelling. You will be free to accept or decline any such proposal.

DFP is not responsible for independently booked flights, trains, accommodation or other travel expenses, subject to your statutory rights.

For this reason, we strongly recommend booking flexible travel wherever possible and purchasing appropriate travel insurance.

CHANGES TO THE PROGRAMME

The exact FIELD TRIP programme may change due to weather, availability, group size or circumstances outside our control.

If an activity or element of the programme cannot take place as planned, we may replace it with an appropriate alternative of comparable quality.

Any significant changes will be communicated as soon as reasonably possible and will not affect your statutory rights.

TRAVEL + INSURANCE

You are responsible for arranging your own travel to and from Prague and for ensuring that you have any documentation required to travel to the Czech Republic.

We strongly recommend comprehensive travel insurance, including cancellation cover, medical expenses, travel disruption, personal belongings and photography equipment.

NO-SHOW, LATE ARRIVAL + EARLY DEPARTURE

If you are unable to attend, arrive late or leave FIELD TRIP early including due to circumstances affecting your own travel, including flight or train cancellations, delays or other personal circumstances, no refund will be provided except where required by applicable law.

We strongly recommend appropriate travel insurance to cover these circumstances.

PERSONAL RESPONSIBILITY + PROPERTY

Participants are responsible for taking reasonable care of themselves and their belongings during FIELD TRIP.

DFP is not responsible for loss, theft or damage to personal belongings or photography equipment except where DFP is legally liable.

Participants are responsible for damage they intentionally or negligently cause to the villa, its furnishings or other property and may be required to reimburse the resulting costs.

Nothing in these terms excludes or limits liability where doing so would not be permitted under applicable law.

ACCOMMODATION

Participants booking FIELD TRIP + Villa Stay are booking shared accommodation unless a private-room upgrade has been purchased and confirmed.

Room preferences will be accommodated wherever possible but cannot be guaranteed. Final room allocation is at DFP's discretion.

Participants booking FIELD TRIP + Stay Elsewhere are responsible for arranging and paying for their own accommodation and transportation to and from the villa.
